About the Team
Our Project Management Office (PMO) team is responsible for the successful operations, execution, and governance of projects, continuous improvement, and organizational administrative support to our teams across the region.
We are looking for an organized, creative, and highly-driven PMO who will support the Americas Public Policy team day-to-day administrative and procurement procedures.
This is the role for you if you are passionate about providing reliable and proactive finance and administrative support to a cross-regional team.
You will be expected to work autonomously, take action on urgent priorities, and act with a high level of discretion when handling confidential information.

Responsibilities
Provide administrative and purchasing support to the Americas Public Policy team by coordinating internal processes, such as:
• Prepare purchase orders and review invoices for payment, ensuring accuracy and appropriateness.
• Create and support execution of contracts with vendors.
• Prepare accurate monthly, quarterly, and annual spend reports as requested.
• Assist with the coordination of administrative projects, such as scheduling meetings, supporting office events or preparing presentations.
• Provide administrative support and coordination to different functions of the Americas Public Policy organization.

Qualifications

Minimum Qualifications
• Bachelor's degree in Finance, Political Science, International Affairs, Government, Public Affairs, a related field, or equivalent practical experience.
• Experience managing procure-to-pay processes, including requisitioning, purchasing, receiving, invoicing, and paying for goods and services.
• Proven experience in tracking actuals and creating monthly budget reports to monitor and manage spend effectively within procurement budgets and payment processes.
• Excellent communication and time management skills; proven ability to meet deadlines.
Highly organized and process driven.
• Ability to interact with junior team members and communicate with top-level management staff in a fast-paced dynamic environment while remaining flexible, resourceful, and efficient with a high level of confidentiality and discretion.
• Experience in building relationships with cross-functional teams and delivering impact through communication and expert coordination.
• Team player with a strong positive attitude and a great sense of commitment.

Preferred Qualifications:
• Professional experience or degree in International Relations, Public Policy, Political Science, Law, or a related field.
• Demonstrated experience in cross-regional project and resource management at a large organization.
• Spanish and Portuguese language skills are a plus.
