Position Summary

The School of Social Work at Jackson State University is accepting applications for its part-time Administrative Assistant position.

Qualifications

Minimum Required Education

Must have a Bachelor's degree.

Minimum Required Experience

Two to four (2-4) years of administrative experience or office management experience.

Minimum Required Licenses and/or Certifications

None.

Must be detail-oriented, possess energy, respect, enthusiasm, and initiative
Documented administrative or office management experience
Knowledge of office management systems and procedures
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills
Proficient in computer applications (Microsoft Word, Excel, Word, PowerPoint, Google Drive, Publisher).
Must possess strong quantitative/accounting skills
Job Duties and Responsibilities Handle sensitive information in a confidential manner.
Answer and direct phone calls.
Assist students, faculty, and administration.
Organize and schedule appointments/meetings.
Make travel arrangements.
Assist in organizing and coordinating program and School events.
Maintain supply inventory by checking stock, ordering, verifying receipts, and payments.
Prepare and proofread correspondence, reports, and other documents.
Organize and maintain paper and electronic filing system on students and faculty.
Take accurate minutes at departmental meetings.
Ensure operation of office equipment.
Research, collect, and compile information as requested.
Manage student workers/graduate assistants.
Maintain financial accounting and property inventory.
Process requisitions and EPAFs.
Internet/Web utilization (PAWS, Banner).
Assist in the admissions process by maintaining database of required applicant information, maintaining applicants' file, preparing correspondences to applicants, and answering questions.
Perform other duties as requested.
