Summary

The AP Manager will Oversee, lead, and manage the Company s accounts payable and claims administrator functions.
The Manager, Accounts Payable role will be responsible for leading the overall payables processes for the entire organization along with claims administrative functions while preparing monthly accruals in accordance with generally accepted accounting principles to drive accurate and timely financial statements for this multi-entity company.
The Manager, Accounts Payable will also be responsible for identifying process improvements that can be made to continue to be at the cutting edge of industry best practices.
The ideal candidate will have proven industry experience as a qualified Accounts Payable professional, and in managing a team.
Proven track record of creating and streamlining accounts payable processes that create recognized value to the organization.

Responsibilities:

Manage a team of 3 employees, 2 Accounts Payable Specialists and the Claims Administrator Supervisor, which has 4 direct reports for claims administration functions.
Manage staff training and development for team members.
Oversee the AP data entry of invoices into WorkDay, and Damage Claim invoices into CMS/WorkDay.
Collaboration with the Claims organization to drive value on the administrative function of the department.
Oversee the process for AP reviewing expense reports for proper coding and following USIC s company policies.
Maintenance of the company s spend categories and expense items for appropriate visibility on spend and mapping to the general ledger.
Maintenance of the company s vendor master list to maintain clean, accurate data within the system of record.
Aid in the management of the company s accounts payable related KPIs, such as Days Payable Outstanding.
Prepare monthly journal entries for expense accruals and any necessary reclassification entries for proper expense recognition in accordance with generally accepted accounting principles.
Oversee process for monthly office and storage rents for corporate and district offices, and maintain office and storage rent file with associated lease documents.
Backup to Senior Accountant for entering all lease data into WorkDay.
Review completed unclaimed property tax forms and route for approval.
Oversee the process for issuing 1099 and any other accounts payable related compliance/tax forms.
Manage the workload balance of invoices and expense reports for all team members.
Lead the administration of the travel per diem program.
Lead the administration of the company s corporate credit card program.
Work with procurement team to add new vendors utilizing new vendor packets and obtaining appropriate approvals.
Collaborate with procurement team, as needed, to improve visibility to spend, reduce number of vendors, and achieve overall cost savings for the company.
Aid in the completion of external auditing requirements on an interim and annual basis.
Prepare ad-hoc analyses and assist in special projects to harmonize & support the growth of the company.

Requirements:

High School education or equivalent.
Associate's degree in accounting or related field preferred.
5+ years of experience in an accounts payable department.
5+ years of management/supervisory experience
Knowledge of accounts payable and expense report processes and best practices
Advanced knowledge of Microsoft Excel
Strong organizational skills and detail oriented with a macro-level view of the business
Strong written and communicative skills
Strong working knowledge of detailed spend data analysis
Ability to multitask & react to a fast-paced environment
Strong time management skills with the ability to prioritize
WorkDay experience preferred, not required
