Coordinates and provides administrative support for various assigned projects within the Third Parties, Property & Planning team, with heavy emphasis on real estate legal and conveyancing matters.
Responsible for the delivery of integrated projects involving consulting services and corporate resources in a timely, consistent, and cost-effective manner.
The successful candidate must have strong organizational and multi-tasking skills, adapts well to changing demands and has excellent communication skills.
This position is project specific and is the hub of a dynamic and highly experienced Property team.

Responsibilities:

• Researching to confirm ownership interests and identify other interests/rights and how they affect the project
• Investigating agreements of all types together with sketches and plans to understand full picture of property status
• Maintaining high level of accuracy within the Property Task tracker and Schedule 35 - Property Team Tracker
• Provide support and able working in collaboration with Property Manager Easements and other project team staff on various assigned tasks
• Participate in interdisciplinary communications to establish and provide the information required from/to other disciplines
• Perform detailed quality and technical checks of information inputs and documentation to be submitted.
  
• Provides industry expertise, administrative and project management support to the task team, through all project stages of property definition, procurement, and implementation, while ensuring adherence to technical and quality requirements, budget, schedule, and approvals including:
  
  • Assist in preparing the project plan, identifying work breakdown, milestones, and required resources (e.g.
    staff, consultants, budget, equipment)
  • Identifying and mitigating any risk
  • Monitoring project progress to milestones and deadlines, identifying and addressing any delays or barriers to successful project delivery
• Assists with property definitions and identifications, including conducting title investigations, via Geowarehouse and Teraview, while preparing and maintaining the project's property acquisition tracking and lands table
• Analyzes business processes and procedures in order to create business efficiency solutions with respect to property deliverables
• Initiates and prepares the terms of agreement to procure technical consultant assignments, evaluates proposals, and recommends consultant assignments
• Compiles business requirements, obtains approvals and reviews property proposal justifications
• May be required to represent Third Parties and Property at meetings with client agencies and stakeholders, including transit and government agencies
• Plans, coordinates, and schedules consultant services for the execution of projects
• Collaborates with internal business units to identify requirements and barriers to project delivery within budget and timeline requirements
• Ensures proper acceptance and commissioning of completed projects for hand over to respective business unit
• Coordinates internal and external project and implementation activities, while ensuring compliance with established standards, policies, and procedures
• Defines, researches, and develops standards and procedures for improved processes for property deliverables
• Assures that all communications comply with document control policies and procedures
• Initiates tenders, evaluates bids, and recommends for approval, the award of project contracts
• Coordinates the management of consultants and cross-functional project teams engaged in ongoing projects
• Advises other employees on topics related to the incumbent's area of expertise, but does not guide employees in their day-to day activities

Your bring:

• Completion of a college certificate in Law Clerk, Real Estate, Business Administration, Geography, Urban Planning or a related discipline - or a combination of education, training and experience deemed equivalent
• 10+ years working with infrastructure property.
  
• Extensive knowledge of property rights, title documents, all forms of property agreements and general understanding of expropriation
• Understanding/ proficient with Legal Surveys, right of way property requirements preferred
• Must be detail oriented, self-motivated, and able to work with limited supervision.
  
• Understanding of MS Office (Excel, Word, Adobe PDF), and SharePoint an asset/ preferred
• Member of the International Right of Way Association an asset
• Team player with the ability to thrive in a large and diverse project team.
