Building Operations (Assistant Property Manager)

Our client is seeking a highly organized and dynamic Operations Supervisor with Assistant Property Manager skills to join their team. The ideal candidate will be responsible for overseeing daily operations, ensuring efficient and effective facility management, and providing support in property management tasks. This role requires a hands-on approach, excellent problem-solving abilities, and strong leadership skills to maintain high standards of service and property upkeep.

Key Responsibilities:

  • Oversee and manage day-to-day operations of the property.
  • Ensure all facilities are in compliance with safety and operational standards.
  • Coordinate maintenance and repair activities, working with contractors and service providers as necessary.
  • Implement and monitor operational policies and procedures to improve efficiency and effectiveness.
  • Maintain an inventory of supplies and equipment and manage procurement as needed.
  • Respond promptly to emergency situations and ensure appropriate resolution.
  • Assist the Property Manager in the leasing process, including showing units, processing applications, and conducting background checks.
  • Handle tenant inquiries, complaints, and service requests in a timely and professional manner.
  • Conduct regular property inspections to ensure compliance with lease agreements and property standards.
  • Assist with the preparation and administration of budgets, financial reports, and rent collection.
  • Support marketing and advertising efforts to attract new tenants and retain current ones.
  • Supervise and train staff, ensuring they are knowledgeable and capable of performing their duties.
  • Foster a positive and productive work environment through effective communication and team-building activities.
  • Schedule and conduct regular team meetings to discuss operational updates, challenges, and achievements.
  • Provide performance feedback and conduct performance evaluations for team members.
  • Maintain accurate records of all operational activities, including maintenance requests, inventory levels, and tenant communications.
  • Prepare and submit regular reports to the Property Manager/Operations Manager.
  • Assist in the development and implementation of strategic plans and initiatives to enhance property operations.

Qualifications:

  • Bachelor's degree in Business Administration, Property Management, or a related field preferred.
  • Minimum of 3-5 years of experience in operations management and/or commercial property management.
  • Strong knowledge of property management practices, including leasing, tenant relations, and property maintenance.
  • Excellent organizational, communication, and leadership skills.
  • Proficiency in property management software and Microsoft Office Suite.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Strong problem-solving skills and the ability to handle multiple tasks simultaneously.
