Recochem is seeking an experienced and highly organized Executive Assistant to provide comprehensive support. The ideal candidate will be proactive, detail-oriented, and capable of managing a diverse set of responsibilities in a fast-paced environment.

Reporting to the CEO, the Executive Assistant will support his daily activities with strong clerical skills.

This position will be based in Toronto.

Job Responsibilities:

Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
Prepare and edit correspondence, communications, presentations and other documents.
Coordinate and manage executive-level meetings, including agenda preparation, minute-taking, and follow-up on action items.
Act as the point of contact between the CEO and executives, internal/external stakeholders.
Handle confidential information with discretion and ensure the integrity of sensitive data.
Organize and maintain files and records, both electronic and physical.
Conduct research and compile data for reports and special projects as required.
Assist with budget tracking, expense reporting, and invoice processing.
Support the CEO in the planning and execution of strategic projects.
Provide logistical support for company events, conferences, and other special activities.
Draft, review, and send communications on behalf of the CEO.
Facilitate effective communication within the executive team and across the organization.
Manage incoming and outgoing communications, including phone calls, emails, and mail.
Build and maintain positive working relationships with internal and external stakeholders.
Represent the executive office in a professional and courteous manner.

Qualifications:

Bachelor's degree in business administration, Management, or a related field.
Minimum of 5 years of experience as an Executive Assistant or in a similar role, preferably in a corporate environment.
Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities.
Strong verbal and written communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
Proficient with Power BI and basic data analysis
High level of professionalism, integrity, and confidentiality.
Ability to work independently and as part of a team.
Strong problem-solving skills and attention to detail.
