Reporting to the Lead, Events, you will work closely with the Community team to provide administrative support, project management and a high level of customer service to startup founders and their teams, partners, clients, vendors and event attendees.
You will be the key contact for confirming meeting and event rental space availability and booking details, venue tours and will support with partnership documents and the YYC Community Events Calendar.
What will you do?

You will be the first point of contact for phone, email and web inquiries regarding upcoming venue rental, event and meetings bookings and triaging to appropriate team members.
You will provide administrative support with quote development, booking confirmations, community partner contracts, sourcing catering, scheduling of security and liaison with cleaning staff
You will coordinate venue tours with partners, clients and vendors
You will enter all events and bookings in multiple internal systems for visibility across the entire organization and to visitors of the centre (including the internal booking system and event calendar (Nexudus), the YYC Tech Community Event Calendar, and the weekly summary for displays throughout the Innovation Centre).
You will be responsible for the setup and management of online registrations (e.x.
Showpass, Eventbrite) for Platform-hosted events, including summarizing and pulling data for reporting to other internal teams.

Who you are:

You have experience in an administrative position
You have a relevant combination of education and experience in Office Administration, Project Management, or Special Events/Event Management
You have excellent project management skills and are self-motivated with the ability to managing multiple initiatives simultaneously with a keen attention to detail
You are courteous, warm and enthusiastic in your communications both verbal and written
You love problem-solving and analysis

Additional Notes:

Some assistance with event execution may be required
Time outside typical business hours may be required
Light furniture moving may be required
