Overview:
This position is the department admin that supports the D411 Life Cycle Support Programs. This position requires frequent communication with all levels of the organization to ensure quality final products are being delivered. The ideal candidate is an excellent communicator, detail oriented, and consistently demonstrates commitment to the team.
Responsibilities:
Document typing, formatting, security marking and editing of technical correspondence (letters, transmittals, conference reports and memos) with other Engineering Departments and the Navy
Administer department Jira board to track document review circuit
Initiating and tracking communication work orders
Book conference rooms for team members
Prepare visit requests, making travel arrangements, supporting completion of expense reporting
Manage departmental supplies and ordering including photo copier paper and toner
Create facility related requests for personnel moves, material trouble tickets, and maintenance issues
Coordinate department service awards
Onboard and assist new hires with hardware, software and logistics
Track department hardware assets
Maintain department organizational charts
Assign commitment numbers, editing and closing commitments
Distribute interoffice mail
The Administrative Aide will directly support the manager, supervisors, and employees of Life Cycle Support Programs. This is a full-time on-site position during first shift. The successful candidate will show a productive and positive work ethic and is willing to work overtime as the department's needs dictate. The candidate will work well with other administrative professionals in the directorate to drive toward consistency and provide coverage as needed.
Qualifications:
Required:
High School diploma or G.E.D.
Proficiency with Microsoft Office Applications - especially Outlook, Word, Excel and PowerPoint
Proficiency with Adobe Acrobat or Foxit PDF Editor and related editing tools
3-7 years of experience in an administrative role, handling and preparing formal correspondence
Preferred:
Prior EB administrative experience
Skills:
Detail oriented and organized
Typing/word processing capability of 45wpm or better
Well-developed verbal and written communication skills
Ability to accept multiple assignments and collaborate with others to prioritize workload
Comfortable working in a team environment
Physical Qualifications:
Climbing, Color Vision, Kneeling, Light Lifting, Reaching, Stooping, Twisting
