Lescombes Family Vineyards is looking for a full-time, experienced administrative assistant to join our team!

Pay range - $15.00 - $17.00

Performs a variety of administrative activities to ensure the smooth and efficient operation of the winery day-to-day. The ideal candidate will provide high-level administrative and production support. The highly organized, detail-driven candidate will manage the day-to-day challenges that come with managing schedules and must be able to shift priorities easily and understand priorities. The role requires strong administrative, communication, and organizational skills. The right candidate will also be proactive, collaborative, and flexible, with the ability to build strong relationships at all levels of the organization.

Essential Duties and Responsibilities:

  • Take accurate and comprehensive meeting notes and track important items discussed that require deeper analysis at a later time and follow-up.
  • Mechanically inclined individuals are preferred.
  • Knowledge of researching part numbers.
  • Organize and categorize parts.
  • Communicate with overseas suppliers to acquire parts.
  • Screen and direct phone calls and distribute correspondence.
  • Handle confidential and non-routine information.
  • Work independently and within a team on nonrecurring and ongoing projects.
  • Manage the sale of auction equipment on sites to include photos, communicate with buyers, and coordinate freight for any items bought.
  • Run day-to-day errands and coordinate special events as assigned.
  • Perform related duties as assigned by a supervisor.
  • Maintain compliance with all company policies and procedures.
  • Schedules and coordinates work with appropriate department staff so that projects are completed in a timely and efficient manner.
  • Manages ticketing and preventative maintenance schedules.
  • Inventory control and management.
  • Identifies, acquires, and ensures the availability of materials and supplies.
  • Conduct data entry and run reports on the company maintenance program.
Knowledge, Skills, and Attributes:
  • A minimum of 3+ years of experience as an administrative assistant reporting directly to senior management is preferred.
  • Knowledge of researching part numbers.
  • Have working knowledge of Preventive Maintenance.
  • Ability to remain poised and stay responsive in making last-minute changes to calendars due to shifting priorities.
  • Must be able to interact and communicate with individuals at all levels of the organization.
  • Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database, and presentation software (Google - Docs, Sheets, and Gmail)
  • Ability to handle multiple deadlines with the ability to be assertive in order to have the team adhere to deadlines.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given prescribed routines, and standard accepted practices.
  • Observe best business practices and etiquette
  • Ability to manage internal and external correspondence
  • Proficient in appointment scheduling
  • High school diploma or GED required.
Physical Requirements:
  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA, and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards.
  • Must be able to lift and carry up to 40 lbs.
  • Excellent written and verbal communication skills
  • Exceptional interpersonal skills
  • Must be able to talk, listen, and speak clearly on the telephone
  • Frequent to constant use of a computer/laptop
