Job Objective : Provide administrative and general coordination of programs and events in support of the Program and Youth Department .

Essential Functions:

Handle inquiries from corps officers and others for the D ivisional S ecretary for P rogram (DSP) office; exercise good judgment in handling requests; consult with DSP and D ivisional Y outh Secretary (DYS) when questions above authority level arise.

Arrange meeting facilities and amenities, including catering for meetings.

Maintain War Cry , Right N ow Media , and other periodical subscriptions.

Maintain divisional and metro event database for calendars and coordinate calendar planning day.

Maintain confidentiality of all written/verbal communications and information as required by statute and policy/ procedure.

Maintain program files according to standardized filing methods and purge records according to disposition of file procedures.

Provide coordination with the planning committees for major overnight divisional events such Leadership C ouncils, Women's Retreat , Men's Camp, Youth Councils, Pilgrimage, Women's Officer retreats , Older Adult Camp, etc.

Work with the DSP and DYS to set goals and vision for divisional event progra m s , themes for yearly events, names for planning committees' members , guest speakers , musical guests, posters, registration, and program ideas .

Support in the c reat ion of briefs for each event.

Convene debrief meetings after each event .

Develop, distribute, and synthesize satisfaction surveys following divisional events.

Support the division in the Corps Management System through training , user support , and yearly rolls & revisions.

Assist with Women's Ministries reviews.

Assist with the preparation and scheduling of annual corps reviews.

Give administrative support to the DSP for Women's Auxiliary

Maintain the organization, product purchasing, and inventory for the Program Department storage areas including the Kansas Room supply closet.

Other duties as assigned.

Minimum Qualifications

Education: High School diploma required ; some college preferred

Experience: Minimum three years ' experience in related field preferred; minimum three years' administrative assistance experience using Microsoft Office products including Word, Publisher, Excel and PowerPoint; experience in graphic design preferred

Certifications/Licenses: None

Skills/Abilities:

Ability to generate routine correspondence

Ability to support and promote the mission and beliefs of the Salvation Army

Good organizational skills

Good communication skills including verbal and written

Ability to communicate sensitively and effectively in a positive manner to maintain positive, productive relationships

Must be a team player and self-starter

Ability to handle multiple projects simultaneously and perform well with limited supervision

Ability to think independently and exercise good judgment

Able to function in an office environment using business equipment including, but not limited to, telephone, computer and photocopier

Supervisory Responsibility: None

Physical Requirements: Include speaking, hearing, vision and manual dexterity; l ifting, pulling and pushing of materials up to 25 pounds; sitting up to five hours per day; bending, squatting, and walking and holiday mailings ; standing up to one hour per day; s itting up to 7.5 hours per day. Reasonable accommodation may be made to enable individuals to perform the essential functions of this job .

Travel: Limited to Kansas City metropolitan area with occasional travel within division for various events

Driving: Must possess a valid driver's license from the state of residence; must be approved through the Salvation Army Fleet Safety Program to driver either a Salvation Army or personnel vehicle for Salvation Army business

Working Conditions : Work is performed in a typical office environment . May require some weekend work
