Job Overview:
We are seeking a highly organized and experienced Community Helpline Program Director to join our team.
About The Organization:
Helping Alaska is a Christian non-profit organization that seeks to inspire hope by uniquely meeting needs within the community.
Helping Alaska serves the Tanana Valley by building relationships, providing help and meeting needs through various in-house programs as well as referrals to partner agencies or organizations.
Program Management Duties:
• Oversee volunteer work on client cases and ensure policies and procedures are followed- Assist volunteers with client casework as needed- Assure strict client confidentiality by restricting and limiting access to case files- Prepare statistical monthly reports as required for the Executive Director, Board of Directors and member churches.
This includes but is not limited to Monthly reports, annual reports, church quarterly reports, etc.- Maintain and update the Helpline resource database including policies and procedures- Work closely and cooperatively with agency caseworkers who make client referrals so that, as much as possible, there is agreement between Helping Alaska and referring agencies on the treatment of clients- Maintain an on-going list of prospective referrals for the Adopt-A-Family and Relational ministry programs- Coordinate with the Executive Director and Program Committee to identify resources needed- Plan and develop new opportunities for churches to engage in GAP Ministries- Management and supervision of the Helpline Program, including the recruitment, training and supervision of volunteers- Coordinate pickup and delivery of donation items utilizing volunteer drivers and/or staff
Administrative Duties:
• Recruit, train, and recognize church contact persons, drivers, helpline receptionists and caseworker volunteers- Maintain current, clear volunteer job descriptions and volunteer training manuals- Maintain accurate and up-to-date volunteer and church information files, including information received from annual Talent Tithe- Maintain the Helpline office to ensure that supplies are available for Helpline Volunteers to do their work efficiently.- Maintain client files to assure confidentiality while providing access by other authorized persons- Other duties as assigned and appropriate
Public Relations Duties:
• Provide stories and photo opportunities for potential use by the Executive Director and/or Communications Coordinator in newsletters, social media, church presentations, and other public relations opportunities- Educate agencies, volunteers, and clients on the mission, purpose, services, and policies of the Helpline.- Attend inter-agency meetings as needed
Supervisory Duties:
• Orient and train Helpline receptionist to input client intake information with compassion and accuracy- Orient and train new caseworkers to process requests effectively and independently in a timely, sensitive, and accurate manner.- Train caseworkers on intake, screening, verification methods, documentation standards, and referral writing- Participate with Helping Alaska staff members in activities that promote teamwork and mutual support
Position Qualifications:
• Discernment, non-judgmental attitude, and the ability to listen, empathize, and accept others- Knowledge of community resources and counseling/social work practices with high-risk populations- Successful candidates should have demonstrated skills in case documentation, agency administration, preferably in a non-profit setting, and in the recruitment, training, and supervision of volunteers- Excellent communication skills demonstrated through writing, speaking, and listening are needed as well as the ability to prioritize both day to day and long term needs of the organization- Superb computer skills, ncluding proficiency in MS Word, Excel, and PowerPoint- Ability to lift 50# and possess a valid driver's license.
