Project and Quality Coordinator - KSA National Only

Buro Happold is looking for a KSA National Only as Project and Quality Coordinator to join our Riyadh office.As Project and Quality Coordinator you will work closely with the project, finance, and operations discipline to provide administrative support to the team.
What will I be doing? Supporting New Starters:
- induction, equipment, run through new starter information.
Training new joiners and ongoing support to the KSA team in the use of the company systems and templates (Timesheets, BH MS Office Templates, etc) Conducting Project Office checks - highlighting areas of concern to Project Directors Prompt Engineers to complete their weekly timesheets.
Supporting with regular team presentations for office communications and team meetings Arranging, attending, and taking minutes, including follow-up action points for internal group and client meetings for the engineering teams where applicable Arranging discipline team away days/events, including organising CPDs Update and maintain Buro Happold's Internal SharePoint pages 'Magellan' for teams.
Coordinating Multi-Discipline reports, liaising with key collaborators and support with project submissions within applicable templates and systems when and as required Support bid process from end-to-end including informed Bid-No-Bid discussions, structured Bid Strategy and Bid Kick-Off meetings, timely Bid Reviews pre-submission, and Lessons Learnt feedback gathering post-submission.
Support ongoing initiatives:
Gathering and sourcing external/internal information as needed, providing an administrative link with Global disciplines, supporting with preparation and issuance of service contracts to sub-consultants.
Liaison with L&D for the implementation of courses, events etc when and as required.
Provide general administrative support to the Group leadership.
Systems Ensure adherence to the administration side of our QMS.
Conduct training for new joiners to QMS/EMS including mandatory training, alongside the regular trainings for the overall team.
Ensure monthly reporting provided to central and regional leadership.
Ensure that common systems and templates are set up and that any problems are communicated to IT Support Support to Global Quality Team Providing regional support for Quality / Project management issues Participate in monthly Quality Coordinators meeting Project Delivery Checklist (PDC):
Attending PDC Monthly reviews with the Global Quality Manager, taking action as necessary to improve PDC scores in the region, and feeding back progress in project management development and raising issues for regional project team.
Support the Global Quality Coordinator with Internal & External Audits help in selecting projects for Audit, meeting booking and checking availability of PDs & PLs, following up on non conformances and opportunities for improvement.
Facilitates External audits in offices in the region.
Assist in closing non conformances.

Excellent computer and IT skills including Word, Excel, PowerPoint, SharePoint, and Teams Experience of using spreadsheets and databases Experience of setting up and maintaining administrative procedures Experience of maintaining quality management systems Good Knowledge of InDesign, Acconex or equivalent systems.
Good Knowledge of InDesign, Photoshop or Illustrator or equivalent systems Confident, proactive character, with the ability to learn new skills and take the lead in challenging situations and problem solve.
Good communication skills, adaptable and open to change Experience of supporting a team of people as well as working on a one-to-one basis.
