Clerical Assistant, Psychology Clinic - Admin Support Group Clerical Assistant, Psychology Clinic - Admin Support Group The College of Arts and Science consists of twenty-one departments spanning the natural and physical sciences, the social sciences, and the humanities and fine arts.
Several institutes, centres, and interdisciplinary programs are also part of the college, which occupies fourteen buildings across campus.
The college has approximately 300 faculty, 150 staff, and 9,000 students, with annual expenditures of nearly $100-M across more than 2,000 funds.
The Administrative Support Group (ASG) provides clerical and administrative support in the areas of finance, graduate support, collegial processes, faculty recruitment, sessional postings, and other department- and program-specific duties for departments and programs in the College of Arts and Science.
The University of Saskatchewan Psychology Clinic (USPC) is an in-house training centre in the Department of Psychology and Health Studies, College of Arts and Science, where clinical psychology graduate students, under the close supervision of registered doctoral level psychologists, provide psychotherapy and/or assessment services to members of the community.

Primary Purpose:
To provide reception and administrative support to the USPC, and to its mission to engage in evidence-based practice, and to strive for client-directed, outcome informed services, by working collaboratively with clients to determine what is most useful to them in the services they seek.
Nature of Work:
Reporting formally to the Manager, ASG, with accountability to the USPC Administrative Coordinator for daily activities, the incumbent is the first point of contact for clients and plays a crucial role in ensuring that each client's experience is exceptional.
The incumbent also supports the activities of student clinicians and staff psychologists.
Respectful relationships with colleagues and stakeholders are essential.
The incumbent is required to interact (both written and oral) with a diverse group of clients in a culturally respectful manner.
Typical Duties or Accountabilities:

Welcome clients warmly and professionally.
Respond to in-person, e-mail, and telephone inquiries and requests in a timely fashion.
Perform functions within the electronic medical record (EMR) including (but not limited to) maintaining client records, maintaining waitlists, scheduling appointments, sending appointment reminders, recording attendance, billing, payments, scanning, and uploading client documents.
Process financial transactions according to policies and procedures.
Maintain accurate records and assure document control.
Communicate effectively with student clinicians, staff psychologists, and Clinic Director to support their activities in the clinic.
Contribute to maintaining a clean and tidy clinic environment (i.e., filling water cooler, ensuring garbage are emptied, cleaning surfaces and kitchenette appliances, communicating clinic supply inventory needs to Administrative Coordinator).
Other administrative duties, as assigned.
Education:
Completion of Grade 12 and a recognized post-secondary business administration/administrative assistant program is required.
An equivalent combination of education and experience may be considered.
Experience:
One to two years of related experience in a university/academic health care setting in a support role is preferred.
Experience working and collaborating in a diverse, inclusive, and highly confidential setting is required.
Experience with an electronic medical record and with handling financial transactions is an asset.
Skills:
Commitment to providing excellent service in a fast-paced environment while maintaining a high degree of efficiency and accuracy.
Ability to maintain strict confidentiality.
Exceptional interpersonal and communication skills, both written and verbal.
The candidate should be enthusiastic and self-motivated.
Exceptional organizational, problem-solving, and decision-making skills.
Knowledge of office software including MS Office (Excel, Powerpoint, and Outlook in particular).
Experience with University software systems and an electronic medical record would be an asset.
