E-Commerce Coordinator

Coastal Peoples has an exciting opportunity for an E-Commerce Coordinator to join our vibrant Art Gallery in downtown Vancouver.

You will be responsible for providing administrative and operational support. The role will involve customer service, inventory management and various tasks that are crucial to key the daily functioning of the gallery.

Our Gallery can give you the opportunity to experience Indigenous culture in an arts environment. Since 1996, Coastal Peoples Gallery has presented a world class First Nations and Inuit collection and has brought visitors and collectors together to experience their art and culture in a historic Gastown location.

We're seeking self-motivated and versatile candidates with solid tech skills who are willing to maintain and oversee all aspects of our virtual gallery and handle various key duties of inventory management, shipping and daily operations during a flexible work week.

Responsibilities:

Working within an intimate team environment, you will coordinate all aspects of online gallery including:
Receiving and documenting new inventory to maintain/archive inventory system
Executing all steps of the online purchase order process
Entering details into CRM database
Handling all aspects of the shipping department and facilitating relevant communication between all parties
Liaise with staff and clients to coordinate packing and shipping of artworks
Manage shipping issues and/or complaints with clients
Execute packing and transport of art, while focusing on value and cost
Obtain estimated costs for shipping quotes and organize shipping transportation
Prepare and complete various export documentation for cross-border and international shipments
Organize shipping invoices and ensure payments have been reconciled
Communicate with shipping suppliers regarding various issues including customer service complaints
Maintain, inventory, and purchase shipping and stationery supplies
Organize and maintain consignment agreements with suppliers and clients
Manage and maintain storage/shipping areas
Perform deliveries, pick-ups and errands
Reporting of technical issues with website to management team
Assist with other associated projects as requested

Qualifications:

1-2 years E-Commerce experience with knowledge of best practices on processing, maintenance and reporting
Experience with content, product and inventory management
Strong copywriting, editing and uploading image skills
Self-motivated, self-reliant multi-tasker capable of working independently
Must have the ability to work calmly and quickly under pressure
Ability to handle volume and complexity with speed and accuracy
Comfortable and confident in making effective decisions in a timely manner
Super organized individual with meticulous attention to detail
Computer knowledge to organize and prepare shipping documentation
Proficient in Microsoft Office applications including Excel, Word, etc.
Ability to handle delicate artwork in a professional manner
Excellent communication skills both verbal and written
Willing to work within a flexible weekly schedule including some weekends
CRM experience is considered an asset
A university or college degree or post-secondary education is an asset
Previous gallery experience is not necessary although preference may be given to those who have worked in a gallery/arts environment
