In this role, you will work under well-established guidelines to independently develop and oversee a variety of staff and recreational programs. Your responsibilities will include programming, maintaining, and supervising activities such as state-licensed camps, teen advisory groups, and climbing wall programs. This position plays a crucial role in the administrative, staffing, and supervisory aspects of Erie's general interest department.

Salary Hiring Range: $65,789 - $75,987ANTICIPATED WORK SCHEDULE:
Full-time (Monday-Friday shifts) 40 hours per week with some nights and weekends as needed. Schedule may vary depending on program specific needs.
SUPERVISION EXERCISED:
This role will supervise 40+ departmental part-time staff, and volunteers. In addition, the Coordinator will provide leadership and oversight on schedules, events, projects, goals and programming.
DUTIES AND RESPONSIBILITIES:
Coordinating Duties
- Plan, research, implement, schedule, supervise, evaluate and promote various state-licensed, climbing wall and teen programs
- Ensure compliance with all state licensing requirements
- Communicate extensively with participants, staff, co-workers, supervisors, volunteers, vendors and contractors to ensure smooth program operations
- Conduct program evaluations, analyze results, make recommendations and implement changes as needed
- Review, schedule, collect payment and approve general interest program requests and monitor facility usage to avoid conflicts
- Develop content for and operate registration and program-area specific software to meet organizational needs
- Create, maintain, and train users and staff on program-area specific standard operating procedures and modify when necessary
- Analyze industry trends and changing community needs to continually provide high-quality programs and services
- Make program-specific operational purchases. Manage equipment and supply inventory, including safety inspections, research, analysis and recommendations
- Promote programs utilizing outreach, engagement and promotions to increase community interest
- Reserve and continually monitor facility reservations for all program-specific activities
- Provide direct program supervision and/or class instruction when needed
- Create and promote an inclusive environment for all staff and participants
Administrative Duties
- Prepare annual and supplemental budget request, monitor revenue and expenses, meet cost-recovery goals and verify accuracy of invoices and purchase orders submitted for payment
- Complete program-specific reports including financial, participation, volunteer, registration activity, facility usage, incident and compliance reports
- Submit detailed and accurate information for publication to include program guide, flyers, social media, newsletters, etc.
- Demonstrate outstanding internal and external customer service by upholding PEAK (Professional, Exceptional, Accountable, Knowledgeable) standards
- Negotiate, prepare and adhere to contractual agreements and oversee contracted activities, including intergovernmental joint use agreements
- Develop and implement program retention strategies
- Maintain program-specific activity waivers and liability insurance in compliance with local and state stakeholders
Supervision Duties
- Recruit, interview, hire, perform orientations, schedule and supervise part-time/seasonal staff and volunteers
- Train and mentor staff and volunteers to include creation of training materials, conducting staff meetings and providing professional development
- Manage staff performance by maintaining staff-related documentation, completing timely and thorough performance evaluations, coaching and initiating disciplinary action as needed
- Create and promote positive working relationships and an inclusive environment amongst staff, volunteers, and participants. Facilitate conflict resolution strategies as needed
- Ensure all required staff and volunteer certifications and trainings are completed
- Submit bi-weekly payroll by established deadlines, verify accurate timesheet entries and make adjustments as needed
- Track and maintain staff and volunteer hours for budgetary purposes and to ensure ACA and labor law compliance
- Oversee general interest staff appreciation and incentive programs
Town Wide Expectations/Duties
- Serve as a professional ambassador of the Town by maintaining a professional image, a team-based collaborative approach and high ethical standards
- Inspect facilities and program areas to ensure a safe environment. Report safety concerns as needed
- Interpret, communicate and enforce all Department, Town, County, State, and Federal policies and procedures within areas of program responsibility
- Complete all required safety trainings in a timely manner and ensures staff compliance
- Develop and accomplish goals and objectives to support the Department and Town mission
Other/Miscellaneous
- Respond to emergency situations, administer first aid, CPR and other medical attention as needed
- Assist with special events or projects on behalf of the Department or Town
- Serve on Department or Town committees
- Serve as Recreation Supervisor in his or her absence
- Perform related work as required and assigned
Qualifications
MINIMUM QUALIFICATIONS
A bachelor's degree from an accredited college or university with major course work in Parks and Recreation Management, Business or Public Administration, Physical Education, or related field; and two years of recreation programming or related experience with at least one year in a supervisory or lead role.
A combination of education and experience may be considered.
CERTIFICATES/LICENSES/REGISTRATIONS
Valid driver's license and satisfactory driving record
Ability to obtain CPR, AED and First Aid certifications within three months of hire
State licensing experience preferred
