Office Executive & GM Assistant
About the role
Offers administrative support to the General/Country Manager and supervises activities in the office to maintain a pleasant work environment for the team.
Has a contribution in team engagement through organization of internal events (TownHalls, conferences, cycle meetings, internal activations).
Role Responsibilities
Administrative support to General/Country Manager
- Keeps and updates the GM agenda.
- Organizes meetings and travel arrangements for GM and regional guests, setting up meeting details (Teams connectivity).
- Supports with translations and necessary presentations.
Organization of team events
- Sets up invitations and logistics for:
TownHalls, local launch events or any other internal events. - Organizes recurrent events:
annual conference, Christmas event, brand launches, quarterly celebrations, cycle meetings. - Day volunteering project, fundraisings, sports competitions.
Internal Communication & Office Coordination
- Annual Wellbeing/Modern Employer & Engagement program - design, plan and implement locally, within agreed budget; liaise with HR and GM.
- Driving engagement on VivaEngage through regular posting.
- Prepare on-spot activation comms/proposals for internal team according to CEE comms/ local events.
- Coordinates and supervises the activity of Office Assistant and is business owner for CH admin suppliers and TPRM process.
- Supports with catering and logistic bookings for internal meetings (local, area etc).
Mandatory EHS responsibilities
- Complies with all EHS requirements applicable in accordance with the training held by the company.
- Performs on-the-job and periodic training in EHS for the employees he/she is responsible of.
Why you?
Basic Qualifications:
Experience as an Executive assistant
Experience in organising events, building relationships, and solving problems related to suppliers, leadership members requirements, internal team projects.
Fluent written and verbal communication in English and Romanian.
Preferred Qualifications:
Has communication abilities with senior leaders, building trustful relationships and basic business acumen/language.
People oriented and can drive initiatives.
Has a proactive approach.
