The Management and Project Assistant/Coordinator takes an active role in various business areas by providing project-related, administrative, and organizational support. Their responsibilities require both specialized knowledge and excellent organizational and communication skills.
Tasks
Project Assistance and Coordination
Taking an active role in the planning, organization, and execution of projects, including creating and maintaining project schedules and specific documents.
Leading small projects or project streams under appropriate guidance.
Formatting and, if necessary, revising project reporting documents and forwarding them to the responsible project managers.
Reviewing returns for completeness and plausibility; in case of deviations, clarifying with the responsible project managers and preparing the final reporting for submission to the supervisor.
Conducting ad-hoc analyses, e.g., for cost distribution, KPI creation
Budgeting
Assisting in DOE management, including coordination of departments, budget planning, and monitoring (forecast, adjustments, budget, year-end, strategic planning, accruals), which directly impacts the financial performance of the department. Interface with Finance.
Organizing and Planning Meetings/Business Trips
Planning and organizing business trips, meetings, conferences, trainings/onboarding, etc. (if necessary, including documentation).
Event Management Support
Support in organizing events, conferences, including participant management (arrival, registration, hotel).
Budget control, invoice processing, transparency.
System and Database Management
Maintenance of area-specific master data (teams, intranet, etc.).
Verification and authorization of records in databases.
Power user activities for various applications.
Support in optimizing existing processes and/or introducing new or modified processes.
Administrative Tasks
Organizational and administrative support (appointment coordination, contract creation/editing/management, incoming and outgoing mail, visitor coordination, initial contact for internal/external inquiries, document editing, creation and updating of presentations, invoice processing, order coordination, research, and translations or coordination of larger translations).
Creation of standard reports (e.g., KPIs, statistics)
